ChatGPT for Salespeople

What ChatGPT really does in B2B sales work, which plan you need for it and what it won’t do. Every fact comes from OpenAI’s documentation.

In 30 seconds

Seven sentences that tell you what to discuss with your team and with IT.

  • The name “ChatGPT” alone doesn’t tell you what you’ll get. The feature set depends on the plan, the admin’s settings, the operating system and the region.
  • A project keeps work on one client continuous: its own instructions, files and memory scoped to that project.
  • You can build your own assistant (a GPT) only in the browser. On a phone you can only use one.
  • A repeatable process for the whole team is a Workspace Agent, available on Business and Enterprise. On Enterprise, an admin has to turn it on first.
  • Deep research lets you limit the search to domains you choose and download a cited report as Markdown, Word or PDF.
  • Meeting notes (ChatGPT Record) work only in the macOS app and only on Plus and higher.
  • No scheduled task will send an email on its own. Sending messages is one of the actions that need human approval by default.

Plans: individual and business tiers

The line between a personal account and a company license runs exactly where team work begins: shared assistants, company data and control over what people can do with a client. We don’t list prices, because ChatGPT plans and prices changed several times in the past six months. Current rates are on OpenAI’s site.

Individual plan

Free, Go, Plus and Pro: a salesperson’s personal account

A personal account is enough for research, call prep and work on a proposal. Creating and editing your own GPTs requires a paid plan. You can use your own and other people’s GPTs on any plan once you’re logged in, so if you drop to the free plan you keep using your GPTs, you just can’t change them.

You can have unlimited projects at no extra cost. What changes with the plan is how much a single project holds, and you can upload at most 10 files at once.

Local-currency billing, where OpenAI offers it, applies to standard plans bought on chatgpt.com. Subscriptions bought through the App Store or Google Play are billed by Apple or Google. Go, Plus and Pro have no annual billing.

Ads appear only on Free and Go, and on Free you can opt out of them in exchange for fewer daily messages. A dash means OpenAI’s documentation doesn’t assign that item to the plan. For Go, OpenAI’s documentation contradicts itself on creating your own GPTs: the pricing page lists that feature only from Plus up. Check on your own account before you buy.

Business plan

Business and Enterprise: a team with an admin

Business is a self-serve plan for two or more users and replaced the earlier Team plan. Enterprise is priced individually through OpenAI’s sales team.

A company license changes three things at once: the default setting for training models on your data, access to team features and how much the admin controls.

A company license doesn’t turn everything on automatically. On Enterprise and Edu, apps, Skills and Workspace Agents are off by default and an admin has to enable them. On Business, apps are on by default.

OpenAI has announced an additional seat type for Business, with a higher usage limit and the option to mix seat types in one workspace. As of August 12, 2026, it’s a waitlist.

Five use cases in sales

Each of the five use cases comes with the plan it needs and a hard requirement.

  1. Individual and business plans

A project as a living dossier on a key account

    What you do
You set up one project per strategic client and put everything about that relationship in it: meeting notes, the proposal, correspondence, product materials. The project instructions describe how to talk about this client, and they override your global instructions.
    Where you click
New project in the sidebar, add files, Project settings under the three dots, project instructions. Drag existing chats into the project or use Move to project.
    Which plan
Any plan, with different capacity: 5 files on Free, 25 on Go and Plus, 40 on Pro, Business, Enterprise and Edu. You can upload at most 10 files at once.
    Hard requirement
Once you share a project, its memory switches to project-only, automatically and permanently. Chats started with a GPT can’t be moved into a project.
  2. Business plan

A Workspace Agent as a repeatable sales process

    What you do
Instead of explaining to the team for the hundredth time how to prepare a pre-meeting briefing, you build an agent anyone can run by typing “@” and its name. The agent can run on a schedule, work in a Slack channel and be triggered from a company system through the API.
    Where you click
Agents in the sidebar, Browse templates or Create with a description of the task, choose tools, Build this agent, Preview, Create.
    Which plan
    Business or Enterprise.
    Hard requirement
On Enterprise, agents are off by default and an admin turns them on. Write actions, such as sending an email, ask for approval on every run by default, and Connector Action Constraints let you describe a limit in plain language, for example “only send to addresses in the client’s domain.” You can’t get the agent’s answer back through the API today: the call returns an acknowledgment with no content.

For whoever leads the team, what matters most is that the agent supports co-editing with Can chat, Can edit and Owner levels, version history that lets you restore an older published version, and analytics showing the number of users and runs. That’s enough to build a shared way of working on.

  3. Individual and business plans

Deep research before a meeting, with control over sources

    What you do
You research a company or a market before a call and decide where ChatGPT gets its information. Before it starts you can change the research plan, and during the run you can stop it and swap sources.
    Where you click
The /Deepresearch command, the tools menu under “+” or the sidebar. You narrow sources with Sites and Manage sites, where you enter domains separated by commas or choose to prioritize those sites while still searching the rest of the web.
    Which plan
Any plan, with different usage. OpenAI doesn’t publish the numbers; the interface shows a counter of remaining tasks.
    Hard requirement
Deep research doesn’t work in every country, and OpenAI doesn’t publish the list. It uses connected apps in read-only mode. You can download the report as Markdown, Word or PDF.
  4. Individual and business plans

Meeting notes and material for the follow-up

    What you do
You record a meeting or a call and get notes you turn into an email to the client or an action plan. A session handles multiple speakers, with labels you can rename.
    Where you click
Record at the bottom of any chat, after granting microphone and screen and system audio recording permissions in macOS settings.
    Which plan
Plus, Pro, Business, Enterprise and Edu, at no extra cost.
    Hard requirement
This one has more conditions than any other: macOS desktop app only, up to 4 hours per session, auto-join from the calendar only for Google Meet links (Zoom, Teams and Webex need a manual start), and on Enterprise and Edu the feature is off by default. OpenAI says record mode works best in English today. Recording other people requires their consent and a check of local laws.
  5. Individual and business plans

A custom GPT as the team’s shared standard

    What you do
You write down once how your company writes proposals and follow-ups, add knowledge files and share the assistant with the team. Everyone starts from the same point.
    Where you click
Explore GPTs, Create, the conversational or the configuration mode, the Name, Description, Conversation starters, Instructions and Knowledge fields, plus the capability toggles. Version history sits under the three dots.
    Which plan
You can use one on any plan once you’re logged in; creating and editing need a paid plan. In managed workspaces it also depends on your role and the settings.
    Hard requirement
Up to 20 knowledge files, each up to 512 MB. Building only in the browser. Sharing directly with people and groups works only in managed workspaces; a personal account has a public link or the GPT Store, and public sharing allows only the “Can chat” access level. The limit is 100 recipients, and a group counts as one.

A custom assistant for the team

OpenAI separates two things that everyday conversation blurs into one: an assistant for me and an agent for the company. That difference decides whether a team standard can hold at all.

Custom GPT: an assistant for me and for the team

A GPT is instructions plus a knowledge base plus capabilities (web search, image generation, data analysis, apps), or your own Actions that call a company API. A GPT uses either apps or Actions, never both at once.

You can use a GPT inside a project, but only in a chat that already exists in that project. If the first message goes to the GPT, the chat starts outside the project.

  • A GPT doesn’t use saved memory, custom instructions or previous chats. Every conversation starts fresh.
  • The GPT’s creator can’t see the conversations users have with it.
  • Calling a GPT with “@” in an ongoing chat works only in the browser. The iOS and Android apps don’t have it.

Workspace Agent: a process for the company

An agent adds what a GPT lacks: a choice of model and effort level, a schedule, a Slack channel, API triggers, your own MCP servers, files up to 512 MB each and up to 10 GB per agent, and a choice between running on the user’s account or on a service account.

Available on Business and Enterprise, and off by default on Enterprise.

Skills: a written-down repeatable procedure

A skill is a reusable description of how to do a specific task, with instructions, examples and optional code. Personal Skills are generally available on Business, Enterprise, Healthcare and Edu.

  • Skills added in the desktop app don’t sync to the web and mobile versions; you have to add them there separately.
  • Uploaded skills go through a security scan and can be marked as needing review or blocked.

You build a custom assistant at a computer. None of the four tools lets you build one from a phone.

On the road: phone and voice mode

The mobile app is good for using what you prepared at your desk. You can’t build assistants in it, because the app doesn’t have those features.

Works on a phone

  • Projects, including shared ones, on iOS and Android.
  • Using your own and other people’s GPTs through the GPTs menu.
  • Three voice modes: Live, Advanced and Standard.
  • Dictation: a recording turned into text you can correct before sending.
  • Scheduled tasks with push notifications, once you create your first task on a mobile device.
  • CarPlay, with an option to start a conversation automatically and continue the last or a pinned chat.
  • Search across chats, projects, images and documents, on all plans.

Doesn’t work on a phone

  • Building and editing your own GPTs.
  • Calling a GPT with “@” in an ongoing chat.
  • Company knowledge, meaning questions about company data from connected systems. It’s browser-only; even the desktop app doesn’t have it.
  • ChatGPT Record, available only in the macOS app.
  • Voice mode doesn’t support connected apps.

Voice mode: what it’s good for

Live listens and talks at the same time, and keeps working in the background with the phone locked and in CarPlay. You can choose from nine voices and three intelligence levels in Settings.

Limits run on a 24-hour window: Plus gets an hour a day at the Instant level, an hour at Medium or High, and two hours on the lighter version. For Go, OpenAI’s documentation gives different limits in two places: once at the Free level and once at the Plus level. A single conversation lasts up to two hours, and you can have only one at a time. On Business, once the hourly limits run out, further minutes come out of the workspace credit pool.

Your own assistant doesn’t work by voice. Live is not available for custom GPTs. A voice conversation with a GPT uses the older Advanced Voice Mode with one fixed voice and no image generation, data analysis or custom Actions. Scheduled tasks don’t work with GPTs or voice chats either.

For a long note after a meeting, dictation works better: you correct the text before sending, and audio from Standard mode is deleted after transcription. Clips from voice conversations are stored with the transcript for 30 days, and deleting the chat deletes them within the same window.

Company data and admin decisions

This section is for the person responsible for the team’s results, and for the IT department that has to sign off.

Model training

On Business and Enterprise, company data isn’t used to train models by default. On consumer plans (Free, Go, Plus, Pro), data may be used for training depending on whether the user has opted out.

  • In a shared project, training is possible only if every participant has the relevant setting turned on. One person with it off is enough to turn it off for the whole project.
  • Audio and video recordings aren’t used for training unless you deliberately turn that on, and on Business, Enterprise and Edu it can’t be turned on at all.

Retention

A deleted project disappears together with its chats, files and instructions within 30 days. Messages in a project inherit the retention period and the data residency region set for the workspace. Archiving a chat deletes nothing.

What the admin has to turn on

Defaults differ between plans, so the list below is the first thing to go through with IT.

  • Workspace Agents: off by default on Enterprise.
  • Skills: off by default on Enterprise and Edu; the admin enables them per role.
  • Apps (formerly connectors): on by default on Business, off by default on Enterprise and Edu.
  • ChatGPT Record: off by default on Enterprise and Edu.
  • ChatGPT Work: in eligible Enterprise and Edu workspaces it requires Enterprise Key Management to be enabled. The admin controls cloud work and local work separately.

Action permissions

Apps have four levels of asking for permission, and the default asks before important actions. The approval card lets you deny, allow once, auto-approve low-risk actions or always allow. Some especially risky actions are blocked outright instead of going to approval.

Granting an app permissions doesn’t give it new access to data the user has no right to.

Connecting your CRM and company drive

OpenAI’s documentation lists Pipedrive as an app with sync that works in chat and in deep research, read-only and respecting the user’s permissions in the CRM itself. It indexes deals and pipelines, contacts, activities, notes, owners, stages, statuses and close dates.

On an account in Poland, the Google Drive connector itself connects - we checked on August 13, 2026. OpenAI doesn’t state clearly which plans get sync, though: three places in the documentation give three different scopes, and the Connect button can be grayed out because of regional restrictions, workspace settings or plan type. Before you build a process on a connected CRM, check the scope on your own plan.

Company knowledge

Asking about company data from connected systems, with citations and links to sources, is available on Business, Enterprise and Edu. It has three limits: it works only in the browser, you have to turn it on manually in every new chat, and it doesn’t support write actions.

What ChatGPT won't do

Eight things that guides to AI in sales present as promises and OpenAI’s documentation lists as limits. Check this list before you build a rollout on any of these features.

  1. It won’t record and summarize every meeting

Record mode works only in the macOS app, on Plus and up, for up to 4 hours per session, and auto-joins only meetings on Google Meet links. From Windows or a phone you can’t do it at all.

  2. It won’t promise the same quality in every language

OpenAI publishes no list of languages optimized for voice mode, and says plainly that record mode works best in English.

  3. Your GPT won’t remember the client

A custom GPT doesn’t use saved memory, custom instructions or previous chats: every conversation starts fresh. Continuity comes from a project. This is the most common misunderstanding in rollout discussions.

  4. It won’t send the follow-up on its own

Scheduled tasks don’t support webhooks, can’t run more than once an hour, don’t work with GPTs or voice chats, and a task created in a project can’t access that project’s files. Sending an email is one of the actions that ask for approval by default, and an admin can block it entirely.

  5. It won’t do your work in the agent mode older guides describe

Agent mode has been retired. Longer tasks moved to ChatGPT Work, browser workflows to cloud browser, and repeatable company processes to Workspace Agents, available only on Business and Enterprise.

  6. Canvas won’t help you with a proposal

Canvas was removed from current models on May 28, 2026, and the last older model that still had it goes away on August 26, 2026. Parts of OpenAI’s documentation still describe it as an active feature, which is one more reason to check at the source.

  7. A company license doesn’t turn everything on

Company knowledge works only in the browser and has to be turned on manually in every chat. Workspace Agents, Skills and apps are off by default on Enterprise. Memory with past chats is marked “Coming soon” on the business plans.

  8. It won’t give you reliable numbers on its own limits

OpenAI doesn’t publish deep research limits per plan, and two official sources give different context window sizes for Business. Any page that states such numbers as fact is copying them from an outdated source.

A separate regional limit: computer use on Windows was unavailable in the European Economic Area, the UK and Switzerland when the feature launched.

Frequently asked questions

Is the free version of ChatGPT enough for a salesperson?

For one-off tasks, yes. For team work, no.

On the free plan a project holds 5 files, you can’t build your own assistant (creating and editing GPTs requires a paid plan), and ChatGPT Work is limited to the desktop app. On top of that, Free and Go are the only plans that show ads.

When does a business plan make sense, and when are individual accounts enough?

A business plan starts to make sense once you want a shared standard and control over your data.

Three features are business-only: Workspace Agents, Skills and company knowledge. On top of that you get no training on company data by default, shared billing, an admin console and SAML SSO sign-in. Business is a self-serve plan for two or more users.

Will ChatGPT record our meetings and write the follow-ups?

It will if the salesperson works on macOS and has Plus or higher. A session lasts up to 4 hours, the feature recognizes multiple speakers, and you can turn the notes into an email or an action plan.

Auto-join works only for meetings on Google Meet links; everything else has to be started manually. OpenAI notes that the mode works best in English today, and recording other people requires their consent and a check of local laws. On Enterprise and Edu, an admin has to turn the feature on first.

Will our company assistant remember our history with a client?

Not in the way people usually picture it. A custom GPT starts every conversation fresh and doesn’t use saved memory or previous chats.

Continuity comes from a project: its own instructions, files and memory scoped to that project, plus the option to share it with the team. The right setup is a project per client and an assistant per repeatable task.

Can we connect our CRM and company drive?

OpenAI’s documentation lists Pipedrive as an app with sync that works in chat and in deep research, read-only and respecting the permissions set in the CRM itself. On an account in Poland, the Google Drive connector connects - we checked on August 13, 2026.

OpenAI doesn’t clearly state which plans get sync, though: three places in the documentation give three different answers. Check this on your own account and plan before you roll it out.

How we teach this in the workshop

We don't try to talk anyone into switching tools. Workshop exercises run in whatever the company already has: ChatGPT, Gemini, Copilot or Claude.

If your team works in ChatGPT, the workshop is built around what we described above: research before a call with control over sources, a project as a dossier on a key account, a shared assistant for proposals and follow-ups, and working with meeting material. Before the training we find out what tasks your salespeople handle and which tools they use, and we choose the modules based on that.

The team leaves with ready projects and assistants they use from the first day after the workshop. The core program has 11 modules covering the whole sales process, from fundamentals and research, through building assistants, prospecting and call prep, to proposals, AI agents and account management.
